7. Security and Storage of Data and Original Documents

Digital Records & Legal Software: Your electronic client files, metadata, and communications are held securely within our specialized cloud-based legal practice management software. This system utilizes enterprise-grade encryption and multi-factor authentication (MFA). All digital data is hosted on secure servers located within Australia to ensure local data residency protections.


VOI Data Retention: Once an electronic VOI report is finalized, the resulting certificates and audit trails are pulled directly into our legal software and stored securely for the legally mandated period (minimum 7 years under electronic conveyancing rules). Biometric markers used during the facial scanning process are managed and purged according to our platform provider's strict security protocols.


Physical Documents: Original documents of extreme legal value—such as Wills, POA deeds, and physical Titles—are stored in our physical safe or fireproof archiving systems. Access to these items is strictly controlled and tracked.

 
8. Accessing and Correcting Your Information

You have the right to request access to the personal information we hold about you and to request corrections if it is inaccurate or outdated.
Please note that we cannot alter original legal deeds (such as an executed Will or signed deed) without receiving formal, fresh legal instructions. We may also charge a reasonable fee for retrieving archives or photocopying large volumes of physical files.
